TERMS & CONDITION

Enrolments

Enrolments and bookings are processed online via the website booking form. Bookings are complete when payment is made. Your information is stored in accordance to the Privacy Act (see below for Privacy Policy).  Please ensure you have filled out all details outlined in our booking form for each participant for emergency procedures. It is the parent’s responsibility to ensure they enrol into the correct program according to the correct age and class grouping. It is the parent’s responsibility to ensure enrolment information is up to date in the event that information changes. It is the parent's responsibility to notify all teacher's of any requirements and allergies prior to class. If your child has medication and plans that need we need to follow, you must discuss this with Rachael prior to arrival. Please arrange a discussion time via our contact page. If you are an NDIS participant or guardian of an NDIS participant wish to claim via NDIS, you must fill out all NDIS enrolment instructions and ensure payment is made in accordance to our Terms & Conditions. 

Class Times

Please adhere to workshop times as we have several programs running and teachers need set up, clean up and break times. If the program is 9-12, arrival is from 9am and pick up is 12pm at the latest. Our teachers will open the door when ready. A late fee will apply, anywhere from $10-$100.

Payment

Payments options:

- Credit card online through our website at the time of enrolment or purchasing. A surcharge of 2.5% is applied for manual processing. 

- Direct Debit

Reference: Your child's name, date and time.

Once you have made payment, please email your booking confirmation and your payment receipt through so we can mark your booking as paid. We receive many direct debit payments and without a reference and receipt, it can be very difficult to locate your payment.

- Pay ID

As we are a business, it is a little different to paying someone with their mobile number. Instead of the mobile number it is our ABN number. So you need to select ABN or ACN option and then type in the following 11 digit number only: 24660623745

Reference: Your child's name, date and time.

 - Cash

Please complete the payment slip at the Studio and have a staff member sign to confirm cash received. Please take a photo for your reference.

- Invoice. A $20 administration fee applies.

Cancellations, Refunds  & Transfers for Art Classes & Holiday Workshops

If you cancel or miss a class, refunds or credits will not be available. In the event that we cancel, artists will be notified via text message or email and entitled to a full refund or credit.

The following can be applied prior to the session commencing (please get in touch via our contact page):
TINY ARTISTS PROGRAM: Transfer to another participant or alternative day if there are places available. A minimum of 24 hour notification is required. Transfer is to be completed within 3 weeks of the original booking.

KINDER ARTISTS PROGRAM: Transfer to another day in that week. A minimum of 24 hour notification is required. Or, at the end of the term, an art pack will be allocated for missed classes
TERM BOOKED CLASSES 5-18 YEARS: At the end of the term, an art pack will be allocated. 1 hour or more notification is required.

HOLIDAY WORKSHOPS: Transfer to another participant or alternative day if there are places available. 24 hours or more email notification is required. 

Cancellations & Refunds for Workshops, Events, & Private Bookings

If you cancel a workshop, event, private booking or party, a refund will not be given. Booking fees secure the booking date and time for you and are non refundable.

A transfer of date is subject to availability and staffing and will incur a transfer fee. If we cancel, you will given a range of options to choose from.

Clothing  

Art can be messy, so we advise you and your child/ren dress in old clothing that is not precious. We do have art smocks to use but do not force people to wear them. Some materials used in the studio will stain clothing. Little Art Big Art is not responsible for damaged belongings.

 

Art supplies

All attempts are made to purchase paints and other materials which are non-toxic. It is the parents responsibility to advise the teacher of any known allergies and to check the ingredients if unsure.

Liability Waiver

As a participant or guardian to a participant, you agree to take on full responsibility for any damages, injuries and for physical and/or personal property, which your child might incur whilst participating in classes and/or events organised by Little Art Big Art.
 

Photo Consent
As a participant or guardian to a participant, you agree to give Little Art Big Art unrestricted publishing rights for any photographs or videos taken at Little Art Big Art classes and events or on Little Art Big Art’s premises.  If you do not wish for photographs, please advise in writing and also tell the teacher on the first class.

Parent Attendance:

Please ensure you understand which classes are drop off and which class requires a parent/guardian to stay (refer to the class description). Due to Child Safety Laws, an adult is not permitted to stay unless you have arranged this with Rachael and provided all appropriate legal documents. Please email Rachael to discuss.

We may occasionally hire other companies to provide services on our behalf, including but not limited to handling customer support enquiries, processing transactions or customer freight shipping. Those companies will be permitted to obtain only the personal information they need to deliver the service. Little Art Big Art takes reasonable steps to ensure that these organisations are bound by confidentiality and privacy obligations in relation to the protection of your personal information.

Use of your personal information

For each visitor to reach the site, we expressively collect the following non-personally identifiable information, including but not limited to browser type, version and language, operating system, pages viewed while browsing the Site, page access times and referring website address. This collected information is used solely internally for the purpose of gauging visitor traffic, trends and delivering personalised content to you while you are at this website. From time to time, we may use customer information for new, unanticipated uses not previously disclosed in our privacy notice.

Little Art Big Art reserves the right to make amendments to this Privacy Policy at any time. If you have objections to the Privacy Policy, you should not access or use the website.

Accessing Your Personal Information

You have a right to access your personal information, subject to exceptions allowed by law. If you would like to do so, please let us know. You may be required to put your request in writing for security reasons. Little Art Big Art reserves the right to charge a fee for searching for, and providing access to, your information on a per request basis. PARTY TERMS & CONDITIONS 

PARTY CONFIRMATION

How to Book a Party

To book, please complete the required party enquiry form: Studio Party Enquiry Form or Mobile Party Enquiry Form, and we’ll get back to you within 1-3 days. 

 

Confirmed Guests and Party Details

Final numbers for the party must be confirmed 10 days prior to your party date.

Please note there is an additional charge per child for extra guests above 10 children. 

We have a capacity limit of one adult per guest, of course both the birthday person's parents are welcome to stay. We require all adults to RSVP so we are aware of overall numbers within the studio as requested on the party invite.

PAYMENTS AND CANCELLATIONS

Party Booking Fee

A $150 non refundable party booking fee is required within 3 days of receiving confirmation from us. This booking fee will be deducted from the final party cost. If your confirmed party date is within 7 days of booking the full payment is required. Booking fees secure the booking date and time for your party.

 

Final Payment

Final payment of your party package and any other charges must be paid 7 days prior to the party date. If your confirmed party date is within 7 days of booking the full payment is required. Failure to make final payment may result in cancellation of the event. Payments are final and cannot be refunded for cancelled parties or for any ‘no-show’ guests. Payment is also regarded as acceptance of these terms and conditions.

Additional Party Guest

All party packages are priced for 10 children including the birthday child and any extra guests are at an additional cost.

Sunday Surcharge

Party bookings made on Sundays will incur a 10% surcharge

Cancellations

Should you wish to postpone your party date for any reason, we do require 10 days notice ahead of the date, to avoid extra charges. A transfer of date is subject to availability and staffing and will incur a transfer fee. Please note that all booking fees are non-refundable and will be forfeited upon cancellation.

PARTY GROUP SIZES & ROOM CAPACITY

There is no minimum number of guests however packages based in 10 including birthday child per booking

Our party rooms have a maximum capacity for children. Please ensure accompanying adult guests do not exceed beyond what has been agreed in our communications.

Little Art Big Art reserves the right to refuse extra party guests if the party booking has reached the maximum room capacity. This is a legal requirement for safety reasons.

Party rooms are allocated based on age, activity and group size. Additional party rooms can not be provided for unexpected children arriving on the day that exceed the party room capacity.

CAKE, FOOD AND DECORATIONS

Decorations 

Our studio is very colourful and filled with wonderful art creations. If you have any special touches you would like to add you are more than welcome to.

Food and Birthday Cakes

You are welcome to bring the birthday cake, lolly bags as well as any extra food for your guests . 

If you have booked for a catered party and have very specific dietary requirements, please advise upon booking.

We have a strict food policy of everyone, including adults, using a plate and sitting down to eat in the Rainbow Room only.  

We suggest serving the cake 20 minutes before your agreed finishing time as it can take you 10-15 minutes to cut and distribute the cake. 

If you run out of cake eating time, you will have to send the cake home with the children. 

We have a knife and cake server available for you to use.

It is recommended you bring your own containers if you wish to take away food and cake. Supply of take away containers are at additional cost.

PARTY DAY INFORMATION 

Arrival and Departures

As we have parties throughout the day please adhere to the opening and conclusion times as advised in communication from us. *Additional Time to set up and/or pack up can be pre booked for a fee, please see our Party Extras

Please ensure children are supervised when entering and exiting the studio as the door opens directly into the carpark

Studio Safety

As we are a working art studio, all rooms have shelving, supplies and artworks around the studio.

For safety reasons, we ask you and your guests to only use the rooms as agreed in our communications and do not remove things from shelves or touch artworks and supplies. If you notice a child touching the shelves or wandering around the studio, please redirect them back to your designated party space.

Please ensure your guests respect our studio, our artists' artworks and our supplies as any breakages or damage to artworks will incur a damage fee. If other rooms are used, a fee will be charged.
